FieldWatch helps companies plan their crews' work and see where crews are during the working day. This page explains what information we handle, why, and your rights under the Protection of Personal Information Act (POPIA).
Who is responsible
The company that uses FieldWatch decides whose information goes into it (its staff, clients and sites) and is responsible for it. We look after that information on the company's behalf. For the details of the people who sign up and pay, we are responsible.
What we handle
- Accounts: names, and the email address or mobile number used to log in.
- Work records: clients, site addresses, schedules, arrival and departure times, and notes.
- Location: a supervisor's location, only while FieldWatch is open on their phone. It is not collected when the app is closed or the phone is locked.
- Payments: the plan and payment history. Card details go straight to the payment provider and never reach us.
Why
Only to provide the service: showing where crews are, alerting managers when a crew is late, keeping a record of the day, and billing. We do not sell information or show advertising.
For companies using FieldWatch: tell your supervisors, before they start, that their location is shared with you while the app is open during work, and why.
How long we keep it
Location history is deleted automatically after 90 days. Everything else is kept while the account is open. When a company closes its account, its information is deleted, except payment records we must keep for tax purposes.
Who else is involved
We use trusted providers for hosting, email, maps and payments, who may only use the information to provide their part of the service. Some of them store information outside South Africa, with protection equivalent to POPIA.
How it is protected
Each company can only ever see its own information. Connections are encrypted, and each person sees only what their role needs: a supervisor sees only their own crew's day.
Your rights
You may ask what information we hold about you, and have it corrected or deleted. Contact us through the contact details on our website, or ask the company that uses FieldWatch. If you are not satisfied, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.
Changes
If this policy changes materially, we will notify customers before the change takes effect.
